Getting started
What GuardWatch is, who it is for, and how rollout works.
What is GuardWatch?
GuardWatch is a digital visitor and security management platform built for gated communities, residential societies, and apartment complexes. Residents create visitor passes from a mobile app, guards scan QR codes at the gate, and community managers oversee access, logs, and reporting from one dashboard.
Who is GuardWatch for?
GuardWatch is designed primarily for gated communities and their decision-makers: HOA boards, community admins, facility managers, and on-site security teams. It also supports the security companies that staff those communities when multi-site visibility is needed.
How does GuardWatch work day to day?
Communities onboard residents and units. Residents manage household visitors and invitations from the resident app. Guards use the guard app to scan passes and review entry history. Community admins and managers use the web dashboard for oversight, reports, and configuration.
How long does deployment take?
Deployment is typically measured in days once your unit list and admin contacts are ready. We configure the society, train guards, and help residents start creating visitor passes. Exact timing depends on community size — confirm a plan on your demo call.
Can existing communities migrate from paper registers?
Yes. Most societies start by setting up units and roles, training guards on QR scanning, then moving households onto digital visitor passes. You do not need to keep using the paper book once scanning is live — historical paper records can stay as archives if your committee wants them.
How do I get started with GuardWatch for my community?
Book a demo or contact the GuardWatch team. We help you register the community, configure units and roles, onboard residents and guards, and train your staff. Most communities start with visitor management at the gate, then expand into guard tracking and reporting.
Can GuardWatch be customized for my community?
Yes. GuardWatch can be configured for your community’s access rules, user roles, communication preferences, and reporting needs. During onboarding we align settings to how your gates and security team actually operate.
What features does GuardWatch include?
Core features include digital visitor passes with QR entry, resident and guard mobile apps, WhatsApp invitation sharing, admin dashboards for community management, automated visitor logs, guard tracking with GPS visibility, patrol verification, and digital incident reporting. Features are configured per community based on plan and rollout needs.
Visitors & gate entry
Visitors & gate entry
QR passes, digital logs, and how guests enter without paper books.
How does visitor entry work with GuardWatch?
Residents create a digital visitor pass in the app. GuardWatch generates a unique QR code that can be shared with the guest (including via WhatsApp). At the gate, the security guard scans the QR code to verify identity, timing, and approval — without paper registers or verbal call-ups.
How do gated communities track visitors without paper logs?
Instead of handwritten registers, every entry is recorded digitally when a QR pass is scanned. Logs include visitor details, host unit, timestamp, and guard action. Managers can review history anytime, which improves accountability and makes audits far easier than paper books.
How is GuardWatch different from a visitor register book?
Paper registers are slow, hard to search, easy to fake, and provide no real-time visibility. GuardWatch replaces them with QR-verified digital passes, searchable logs, resident-controlled invitations, and manager dashboards — so every guest entry is verified and auditable.
Can visitors enter without internet?
Visitors can show a QR pass that was already shared to their phone. Gate scanning works best when the guard device has connectivity to verify and log the entry. Ask during your demo about offline or low-connectivity options for your specific gate setup.
Residents & apps
Residents & apps
Resident app, household roles, and day-to-day approvals.
Can residents use existing phones?
Yes. Residents install the GuardWatch resident app on their existing Android or iOS phones. No special household hardware is required — during onboarding we help your community roll out the app to units.
Do residents need to install an app?
Yes. Residents use the GuardWatch resident app to create visitor passes, manage household guests, and share QR codes. During onboarding we help your community roll out the app to households.
Is there a mobile app available?
Yes. GuardWatch has apps for residents and for security guards on Android and iOS. Residents create and manage visitor passes, contacts, and invitations. Guards scan QR codes and review scan history. The Android APK is available from the Download App page; iOS builds are available through the standard app distribution for your community rollout.
What are the different user types in GuardWatch?
GuardWatch supports community-focused roles: Community Admin (setup and oversight), Community Manager (daily operations), Security Guards (gate scanning and monitoring), Head of Household (family and visitor management), and Family Members (community access). Super Admin covers platform-wide management for multi-community operators.
Guards & operations
Guards & operations
Gate devices, training, and manager visibility.
Do guards need new phones?
Usually no. Guards need a smartphone that can run the GuardWatch scan app (most communities use existing Android devices at the gate). Ask during onboarding if a dedicated gate device is recommended for your site.
Do guards need smartphones?
Yes. Guards use the GuardWatch guard app on a smartphone to scan visitor QR codes and mark attendance. Most communities use Android phones at the gate; iOS is also supported where your rollout plan includes it.
How long is training?
Guard training is typically a short hands-on session covering QR scanning and attendance. Resident onboarding is guided with simple in-app steps. We stay available after go-live for follow-up questions.
Can community managers monitor gates and guards remotely?
Yes. Managers and admins can review visitor activity, scan history, and operational reports from the dashboard. Live guard tracking and patrol verification help supervisors see whether security staff are on duty and completing assigned rounds — without relying only on verbal updates.

How is support provided?
GuardWatch support is available by email, phone, and WhatsApp. We help with onboarding, configuration, training, and day-to-day technical questions so your community can run visitor and security operations confidently after go-live.

Permissions, data handling, and incident documentation.
How secure is GuardWatch?
GuardWatch uses secure authentication, encrypted data handling, and role-based permissions so residents, guards, and admins only see what they need. Visitor passes are unique and scanable, which reduces unauthorized entry compared with open paper registers or shared verbal codes.
What happens if there is a security incident?
Communities can log incidents digitally with timestamps and supporting details through GuardWatch reporting tools, then follow their existing emergency response protocols. For life-threatening emergencies, always contact local emergency services first — GuardWatch supports documentation and operational coordination, not emergency dispatch.
